Penn State Extension frames machinery management around having appropriate equipment available for the required work at the required time and cost. A useful fleet record therefore needs more than location: it connects asset identity, configuration, work capability, condition, operator, assignment, support needs, cost, and evidence of completion.

Fleet software can make these relationships visible, but it does not determine safe compatibility, maintenance requirements, economic replacement, or agronomic suitability by itself. Those decisions still require exact documentation, inspection, local conditions, financial context, and accountable people.
